Job Title: Rainbow Room Coordinator (FT)

Reports to: Director of Programs

Location: Austin, Texas (Hybrid - In Person 3 days minimum)

Salary: $48,000 - $50,000 (commensurate with experience)

The Rainbow Room Coordinator is responsible for assisting caseworkers in gathering basic need items for the families connected to Child Protective Services. This includes, but is not limited to, filling special requests for caseworkers, ensuring items in the Rainbow Room are stocked daily, completing reimbursement forms for items, accepting and sorting incoming donations, and working with volunteers to keep the Rainbow Room and warehouse stocked. This position is required to be onsite a minimum of 3 days a week with the physical component of moving and lifting items.

Responsibilities:

Inventory Management

  • Maintain stock of inventory in Rainbow Room for caseworkers to access.
  • Work with volunteer manager to keep inventory in warehouse stocked, clean and well organized.
  • Complete online purchasing of items to restock Rainbow Room inventory as needed.
  • Submit requests to Travis County for all special request bulk orders in a timely manner.
  • Work with 3rd party providers to request items for distribution.
  • Receive, track and enter incoming donations and inventory into tracking system.

Customer Service

  • Provide excellent customer service to all CPS caseworkers, administrators, youth and families that enter the Rainbow Room.
  • Manage volunteers as assigned to help with Rainbow Room and maintain relationships with regular donors and supporters.
  • Ship items to youth and families as needed.
  • Review and process all rent and utility requests for families.

Administrative

  • Support operations for the Rainbow Room and coordinate with Director of Programs to assess needs and ensure proper data collection in invoicing.
  • Properly document and track all receipts from donations and purchasing for proper monthly invoicing and bookkeeping.
  • Support donation drives and coordinate with staff and board to assist in pickups and deliveries.
  • Maintain "Rainbow Room Round-Up" and Amazon wish lists online.
  • Provide inventory reports, invoices to bookkeeper.
  • Record and report on data for Rainbow Room grants and contracts.
  • Other duties as assigned.

Requirements:

  • Flexibility to work occasional evenings and weekends as needed for events; hybrid work includes a minimum of 3 onsite days a week.
  • Proficient computer skills, including but not limited to Microsoft 365, Canva, Airtable, Amazon, Zoom.
  • Bachelor's degree in social work or other related field, is a plus.
  • Access to a reliable vehicle and ability to travel throughout the Austin area.
  • Ability to lift up to 50 lbs. and work in a physically demanding role.
  • Experience managing logistics and other project management tasks.
  • Excellent communication and organizational skills.
  • Experience working with families of child protective services is a plus.
  • Strong problem-solving skills and ability to work well under pressure.
